What Cloudswyft LMS collects about you, why we need it, who else sees it, and how you stay in control of it.

Effective October 1, 2026 We never sell your data Data Privacy Act of 2012

Who we are

Cloudswyft LMS is run by CloudSwyft Global Systems, Ltd. ("we", "us"). We decide how the personal data on this platform is used, which makes us its personal information controller under the Philippine Data Privacy Act of 2012 (Republic Act No. 10173).

This policy covers this website, the learner apps that open from it (dashboard, account, profile and course pages), and the emails the platform sends. It sits alongside our Terms and Conditions.

What we collect

We collect what you give us, what the platform records while you learn, and a little technical data every website handles. Here is all of it:

DataWhat it includesWhy we need it
Account details Name, username, email address, password (stored securely, never in readable form), country, year of birth and preferred language. To create your account, sign you in and show the site in your language.
Profile details you add Photo, bio, city, mailing address, education and social media links. All optional. To fill in your profile, for you and for the people you choose to show it to.
Learning activity Enrollments, progress, answers and assignments, grades, certificates, forum posts and course reviews. To run your courses, record what you have completed and issue certificates.
Purchases Courses bought, amounts paid, discount codes used, and the payment confirmation we receive from our payment provider. To enroll you once you pay, handle refunds and keep accounting records.
Messages to us The name, email, topic and message you send through the contact form, and our notes on it. To answer you and keep track of who is handling your message.
Technical data IP address, browser and device type, pages visited, your activity in courses, and the cookies described below. To keep you signed in, protect the site from abuse, fix problems and see how courses are used.

The Profiling assessment is the exception: your answers are kept in your own browser and are never sent to us. They are gone when you close the tab.

How we use it

We use your personal data to:

  • create and run your account, and sign you in;
  • deliver the courses you enroll in, track your progress, grade your work and issue certificates;
  • take payment, enroll you once it goes through, apply discount codes and process refunds;
  • send you the messages the service needs: account activation, password resets, payment receipts and your on-site notifications;
  • answer what you send us through the contact page;
  • keep the platform secure, prevent fraud and fix problems;
  • understand how courses are used so we can improve them, using aggregated figures wherever we can.

We rely on the agreement we have with you when you sign up or buy a course, on our legal obligations (tax and accounting records, for example), on our legitimate interest in running a secure and useful service, and on your consent where we ask for it.

We do not sell your personal data, we do not show advertising, and we do not use advertising trackers. If we ever send promotional email, we will ask first, and every one will let you opt out.

What other people can see

Some of what you do on the platform is visible to other people by design:

  • Your profile. Other learners see your username and profile photo. Your bio, country, language and social links are shown only if you set your profile to full visibility in Account settings.
  • Forum posts show your username to everyone in that course.
  • Course reviews are published on the course page with your name (your full name if you have set one, otherwise your username). The review form tells you this before you send it.
  • Certificates have a shareable link that shows your name and the course. Only people you give the link to will find it.

Course staff can see the progress, grades and submissions of learners in their own courses, which they need in order to teach them.

Who we share it with

We share personal data only with the services that make the platform work, and only what each one needs:

Paymongo

Receives: Your name, email and the order you are paying for. You type your card or wallet details on Paymongo's own page.

Why: To take payment. Paymongo is a licensed payment processor and handles card data under its own privacy policy.

Our hosting provider

Receives: Everything stored on the platform, on servers we rent.

Why: To run the site. They store and process it for us and may not use it for anything else.

Google and EmailJS

Receives: Your name, email and phone number, only if you use "Request a Copy" on the Profiling results page.

Why: To email you a copy of your results. Your assessment answers themselves stay in your browser and are not sent to us.

Content delivery services

Receives: Your IP address and browser details, as with any website request.

Why: To load parts of the site, such as its fonts, quickly.

Authorities

Receives: Only what a valid legal request requires.

Why: When the law obliges us to, or to protect someone's safety or prevent fraud.

If CloudSwyft is ever reorganized, merged or sold, your data would pass to the new owner under this same policy, and we would tell you first.

Cookies

Cookies are small files your browser keeps for a site. We only use the ones the platform needs to work and to remember your choices:

TypeWhat they doHow long
Essential Keep you signed in, keep your account secure and protect the forms you send us. The site cannot work without them. From the end of your visit up to a year
Preferences Remember choices you make, such as the language the site is shown in. Until you change them
Analytics and advertising Track how you use the site or show you ads. We do not use these

You can block or delete cookies in your browser settings, but without the essential ones you will not be able to sign in. If we ever start using other kinds of cookies, we will update this page first.

How long we keep it

  • Your account and learning records are kept for as long as your account is open.
  • When you delete your account, we close it straight away and then remove your personal details or make them anonymous. Grades and activity may stay in course statistics, with nothing that identifies you.
  • Purchase records are kept for as long as Philippine tax and accounting rules require, even after an account is deleted.
  • Contact messages are kept while we deal with your enquiry and for follow-up afterwards. Ask us and we will delete them.
  • Technical records are kept only as long as we need them for security and troubleshooting.

How we protect it

Passwords are stored in a form that cannot be read back, not even by our staff. The site uses encrypted connections, only the staff who need it can reach our administration tools, and your card details never reach our servers.

No system is perfectly secure. If a breach puts your personal data at risk, we will tell you and the National Privacy Commission as the Data Privacy Act requires. You can help by using a strong password that you do not use anywhere else.

Your rights

Under the Data Privacy Act you have the right to:

Be informed

Know what we collect and why. This page is that notice.

Access

Ask for a copy of the personal data we hold about you.

Correct

Fix anything wrong. Most of it you can edit yourself in Account settings.

Erase or block

Delete your account, or ask us to stop using or remove specific data.

Object

Refuse processing that relies on your consent, such as promotional email.

Portability

Get your data in a common electronic format to take elsewhere.

Complain

Take a complaint to the National Privacy Commission (privacy.gov.ph).

Damages

Be compensated if a breach of your privacy rights causes you harm.

You can change most of your details and delete your account yourself in Account settings. For anything else, email support@cloudswyft.com. We may ask you to confirm your identity first, and we will answer within the time the law allows.

Children

The platform is for people aged 13 and over, and learners under 18 need a parent's or guardian's consent, as our Terms explain.

If you have not given a year of birth, or are under 13, your profile is kept private and is not shown to other learners. If you believe a child under 13 has an account, contact us and we will close it.

Where it is processed

Our servers, and some of the services listed under Who we share it with, may be located outside the Philippines. Wherever your data is processed, we remain responsible for it under the Data Privacy Act and only work with providers that protect it to the same standard.

Changes to this policy

We will update this policy when the platform or the law changes. The effective date at the top of the page always shows the current version, and for significant changes we will also give notice on the site or by email before they take effect.
